Job Title:  Warehouse Coordinator

Education Level and Certification:  High School Diploma

Performance Responsibilities and Job Tasks  

 

The Warehouse Coordinator oversees all aspects of the School District's warehouse operations, including receiving, storing, cleaning the campus buildings, grounds maintenance and appearance, and distributing goods and supplies. This role involves managing inventory, coordinating shipments, matching invoices with purchase orders and packing slips, and ensuring efficient and accurate handling of materials to meet the needs of the district's schools.  Additionally, the warehouse coordinator is responsible for overseeing the cleaning of the campus buildings, grounds maintenance, conducting daily visual inspections and cleaning of the activity fleet vehicles.

 

Receiving and Inspection

  1. Receive deliveries of goods and supplies, ensuring accuracy and completeness of shipments.
  2. Inspect incoming items for damage, discrepancies, or defects.
  3. Document and report any issues with received items to appropriate personnel.
  4. Manage packing slips, invoices, and purchase orders in coordination with accounts payable.
  5. Recommend to the Superintendent or designee any personnel changes that are in the best interests of the District.

 

Inventory Management

  1. Maintain accurate inventory records using inventory management software or manual systems.
  2. Monitor stock levels and reorder custodial cleaning and office supplies as needed to avoid shortages.
  3. Conduct regular inventory audits to reconcile physical inventory with records.

 

Storage and Organization

  1. Ensure efficient and organized storage of goods within the warehouse.
  2. Implement appropriate shelving, labeling, and storage systems to optimize space and accessibility.
  3. Safely handle and store items according to relevant regulations and safety guidelines.

 

Distribution and Fulfillment

  1. Coordinate the distribution of goods and supplies to schools and other district facilities.
  2. Prepare and pack items for delivery, ensuring accuracy and completeness of orders.
  3. Schedule and coordinate delivery routes and logistics to minimize delays and maximize efficiency.

 

Quality Control and Compliance

  1. Enforce quality standards for received items and stored inventory.
  2. Ensure compliance with relevant regulations, including safety standards and storage requirements.
  3. Implement procedures for maintaining product integrity and preventing loss or damage.

 

Team Management and Supervision

  1. Supervise warehouse staff, including assigning tasks and monitoring performance.
  2. Provide training and guidance to warehouse personnel on best practices and safety procedures.
  3. Foster a positive and productive work environment conducive to teamwork and collaboration.

 

Communication and Collaboration

  1. Develop relationships and communication strategies with vendors, suppliers, and internal stakeholders to coordinate deliveries and resolve issues.
  2. Communicate effectively with school administrators and staff to understand their needs and requirements.
  3. Collaborate with other departments, such as purchasing and transportation, to streamline processes and improve efficiency.

 

FLSA Status:  Exempt.

 

  1.
